Front Office Supervisor

Position Summary:

Responsible for oversight and supervision of daily front office medical & dental center operations, ensuring implementation and compliance with all HealthPoint policies and procedures. Compensation is dependent on skills and experience.

Your contribution to the team includes:

  • Responsible for new employee site orientation, training and shadowing of all Front Office staff. Provide oversight and coordinate daily assignments to ensure efficient front office operations and completion of required duties.
  • Responsible for hiring, performance management, recognition and training of all Front Office staff. Also responsible for providing guidance, coaching, counseling, conflict resolution, employee relations and career development of Front Office staff.
  • Responsible for maintaining time keeping records and establishing and maintaining daily staffing levels of Front Office staff to ensure appropriate coverage for clinic.
  • Facilitate communication among the Front Office staff regarding procedures, changes, clarifications and distribution of pertinent materials.
  • Responsible for running daily, weekly, monthly reports to ensure accuracy of demographics, insurance and financial information, including auditing of charts of Front Office Staff to ensure errors are kept to a minimum.
  • Facilitate site Front Office meetings, attend and participate in in-service meetings, staff meetings , Front Office Supervisor meetings, organizational committees and task force activities as required.
  • Maintain schedule accuracy for maximum patient flow by checking schedule regularly to confirm provider dates and times are correct. Identify and correct inaccuracies or mistakes to schedule and ensure unique events and provider administrative times are accurately reflected on the clinic schedule.
  • Maintain effective communication with back-office staff and providers to ensure efficient patient flow, the Client Service Representative ensure all patients have been enrolled in an insurance plan or have met with the CSR to determine eligibility and the medical clinic biller assigned to the clinic to ensure accurate information is being shared and they are included in your team meetings.
  • Ensure established procedures for opening and closing the clinic each day including balancing cash and preparing daily bank deposits.
  • Monitor and ensure adequate stocking of supplies.
  • Responsible for hiring, performance management, talent development, employee relations, recognition, and training of staff by providing effective leadership.
  • Ensure all work is completed in support and enhancement of the objectives and goals of the organization.
  • Continuously evaluate and improve processes and procedures to streamline and enhance office operations using the HealthPoint Lean Management System (HLMS) tools and processes.
  • Other duties as assigned by supervisor.

Must have’s you’ll need to be successful:

  • Technical college or certificate degree preferred; plus nine-months to two years related experience; or equivalent combination of education and experience. Supervisory experience in medical or dental setting preferred.
  • Beginning to intermediate level of Word, Excel and Outlook required.

Proof of immunizations and/or immunity to: COVID-19, MMR (measles, mumps, and rubella), Varicella, Annual Influenza, and TB are required for all employees. Additionally, if you work in a HealthPoint clinic, Tdap (within last 10 years) is required. Hepatitis B. is required for clinical employees with potential exposure to blood/blood products. All immunizations are a condition of employment. Upon hire, employees must provide proof of their immunizations and/or immunity prior to starting or no later than their fifth (5) business day of employment.
