Executive Assistant, Ethics & Compliance [United States]


 

We are looking for a team-oriented, highly organized, and proactive problem solver to provide a full range of administrative support to the Vice President, Deputy General Counsel and Chief Compliance Officer, members of the Ethics & Compliance Team, and general administrative support to other members of the Legal Leadership Team who are based in Roswell, Georgia. The ideal candidate will have sound organizational skills and a growth mindset along with a track record of building interpersonal relationships with employees at all levels of the organization while upholding a high level of confidentiality. The position will report directly to the Vice President, Deputy General Counsel and Chief Compliance Officer, and will work collaboratively with other leaders and executive assistants.

ESSENTIAL ACCOUNTABILITIES:

This role is responsible for a broad variety of tasks in support of the Vice President, Deputy General Counsel and Chief Compliance Officer (“CCO”), the rest of the Ethics & Compliance (“E&C”) team, and Roswell-based members of the Legal Leadership Team (“LLT”), some of which include:

  • Provide executive administrative support, handle sensitive and confidential matters with discretion, and work both collaboratively with and independently of the CCO, other Legal leaders, and the E&C team.

    Assist in the successful delivery of training courses and campaigns, including ensuring that courses and campaigns are set up correctly in WorkDay, coordinating reporting, and following up as needed to ensure completion.
  • Manage and coordinate the CCO’s calendar of global appointments, and frequently provide calendar support to E&C team members and Roswell-based LLT members as well.
  • Serve as a point person for the E&C department on requests, ensuring appropriate and timely responses from the department and its members. Research, prioritize, and follow up on such requests, including those of a sensitive or confidential nature.
  • Provide a bridge for smooth communication between the CCO and internal departments; demonstrating leadership to maintain credibility and trust with Kimberly-Clark senior management.
  • Work closely and effectively with the CCO to keep well-informed of upcoming commitments and responsibilities, and following up appropriately. Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on projects to successful completion, often with deadline pressures.
  • Help manage budget coordination for the E&C team by reviewing and completing monthly reports, reviewing and updating quarterly forecasts, processing and handling of purchase orders, reviewing and processing invoices, and establishing monthly accruals.
  • Manage CCO, E&C team, and Roswell-based LLT member expenses and expense reporting, ensuring accuracy and timeliness, and administrative management of vendors.
  • Prepare department, staff, and other meetings, including by creating agendas, arranging conference space and technology, preparing meeting materials, arranging refreshments and meals, and managing meeting budgets.
  • Prepare, format, print, and assemble letters, presentations, memoranda, binders, and various other documents, including of a confidential nature, requiring proficiency in word processing and Microsoft Office applications, as well as internal procedures and practices.
  • Manage E&C team document sites by keeping all information organized, relevant, and current; manage interactive online Code of Conduct by identifying resources in need of updating, verifying links are functioning correctly, and periodically reviewing with relevant stakeholders.
  • Arrange domestic and international travel plans, itineraries, and agendas and compile documents for travel-related meetings.
  • Work with other Enterprise Executive Assistants sharing best practices and coordinating calendars.

Role is based in Roswell, Georgia.

QUALIFICATIONS

Basic Qualifications

  • Two years or more college or equivalent experience.
  • 5+ years administrative or paralegal support in a corporate environment, supporting executive level leaders (i.e. Sr. Dir & VPs)
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Excellent interpersonal and communication skills, and the ability to build and maintain positive and effective working relationships at all levels, including senior management and global partners.
  • Proficiency with Microsoft Office, Outlook, Teams, Excel, PowerPoint, and SharePoint. Proficiency with Zoom, preferred.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
  • Highly resourceful team-player, with the ability to also be extremely effective independently.
  • Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment, and adaptability to shift according to rapidly shifting needs and priorities.

Preferred Qualifications

  • Experience working with diverse audiences and/or global experience, preferred.
  • Web based (Concur) travel and expense reporting system knowledge, preferred.
