Foundation Associate (Fundraising)-FT/Exempt

I. BASIC PURPOSE OF POSITION:

Seacrest Foundation raises the funds needed so that Seacrest Village and Seacrest at Home can provide charitable care to those frail and elderly members of our community who have nowhere else to turn for help. The fundamental purpose of this position is to be involved in all tasks associated with raising funds for Seacrest Foundation. The position has direct involvement with, and provides support for, the Chief Foundation Officer in all aspects of a Capital/Legacy Campaign. Position is responsible for all donor management with regard to entering gifts into a data base as well as all written acknowledgments. Position requires strong database skills and is responsible for reporting, comparisons, donors listings, contribution histories, etc. Position will also assist with the daily operation of some special events for Seacrest Foundation. This position will create, manage and enhance current donor programs (Tribute Cards, Yahrzeit (Remembrance) Plaques, etc.) while helping to create new donor programs. Manage existing and create new donor recognition signage campus-wide at Seacrest Village Encinitas and Rancho Bernardo. Coordinate Seacrest Foundation board meetings, responsible for board meeting agendas and minutes. Manage all aspects of board governance, bylaws, amendments, etc. Research and apply for grants. Provide executive support to the Chief Foundation Officer.

II. CUSTOMER/CLIENTS SERVED BY POSITION:

Chief Foundation Officer, Director of Philanthropy, Foundation Events Manager, Seacrest Village President/CEO, Seacrest Foundation Board members, committee members, and contributors.

III. OUTCOME WHEN JOB IS DONE WELL:

An organized, detail-oriented Foundation Associate who meets deadlines and is confident that donor related tasks are professionally planned and thoroughly carried out. All donor recognition signage/programs are perfectly quality controlled and impeccably maintained. Other programs such as the Viterbi Children’s Tile Wall, The Legacy of Promise, Family Member Programs, Major Donor Dinners and a Speaker’s Series will be created and effectively managed by the Seacrest Foundation Office. The primary focus will be supporting the Chief Foundation Officer in an effort to raise necessary funds for any and all campaigns.

IV. EDUCATION REQUIREMENTS:

Minimum of B.A. degree or 5 years of experience in lieu of formal education.

V. EXPERIENCE REQUIREMENTS:

Minimum five (5) years proven work experience in non-profit management/fundraising, office management, executive assistance. Proven successful working relationships with lay leaders.

VI. SPECIAL SKILLS, LICENSES, CERTIFICATION AND /OR SPECIAL TRAINING REQUIREMENTS:

Current class C driver license. Excellent interpersonal working skills with various age groups. Leadership, organizational and managerial skills. Excellent editing and copywriting skills. Knowledge of pre-press production and printing. Excellent budgetary skills. Must be completely proficient in Microsoft Office and comfortable working with databases (merging, importing/exporting, pulling data reports). Confidentiality imperative when related to gifts or contributions to Seacrest Foundation. Must be able to pass pre-employment TB exam and physical and be able to obtain fingerprint clearance per our licensure for Title 22.

  • Assist with the operation of all fundraising activities and special events for Seacrest Foundation, and all affiliated entities from concept to end. Manage Seacrest Foundation Board Correspondence, Children's Tile Wall, Tributes, and any other assigned programs that may be developed. Assist the Chief Foundation Officer with capital/endowment campaign management. Oversee all donor recognition signage for the various programs.
  • Obtain and negotiate vendor contracts, as necessary, though they must be approved by the Chief Foundation Officer.
  • Actively pursue the continued growth of the donor base held by Seacrest Foundation.
  • Work in a cooperative manner to maintain a positive relationship with other Jewish and secular organizations.
  • Assist with and proofread the writing of brochures, letters and other fundraising materials for Seacrest Foundation.
  • Manage all donor entry into the Donor Perfect Data Base and donor acknowledgements.
  • Coordinate all Seacrest Foundation Board, Foundation team meetings and quarterly retreats.
  • Coordinate and maintain all committees of the Seacrest Foundation Board.
  • Monthly budget and credit card reconciliation.
  • Maintain “Policy and Procedure” Manual.
  • Recognize donors on occasions such as Birthdays and Anniversaries (and other appropriate times)

  • Represent Seacrest Foundation in a professional and positive manner within and outside the community; appearance and attitude. Wear appropriate clothing and name badge per policy.
  • Mission - Familiarize self and staff with Seacrest Foundation policies and procedures and same with the Jewish tradition as observed by our contributors, residents, family and guests.
  • Fire/Disaster, Safety and Workers Compensation - Promote a safe environment within the facility which includes fire and accident prevention, maintenance of sanitary conditions and assurance that you understand your role in the event of a disaster or other disruption of services. Observes safety regs; wear and use appropriate equipment, reports all work injury incidents immediately to supervisor/HR and completes paperwork; provides work injury solutions for future prevention.
  • As a matter of SV policy and federal and state law; attends HIPAA training, follows HIPAA confidentiality and privacy policy, applies “minimum necessary”, “needs to know” guidelines on all PHI information and reports non-compliance violations to Privacy Officer.
  • As a mandated reporter per DOJ requirements; attends Mandated Reporter Abuse training meetings, Will report all abuse incidents; physical, emotional, financial, sexual, verbal, completing the 1) SOC 341form, mailing or faxing, 2) calling the ombudsmen and/or department of health services; for Assisted Living and Independent Living, call ombudsmen, and APS (adult protective services), and 3) informing supervisor so resident can be protected.
  • Follow the corporate compliance standard and employee code of conduct, of performing work with an ethical behavior and utilizing proper business conduct and professional practice, that complies with applicable laws, rules and regulations; as serving the residents, preserving the organizational reputation, maintaining resident/employee trust, community respect. Reports non-compliance or concerns to Corporate Compliance Officer.

VIII. NON-ESSENTIAL JOB FUNCTIONS:

Requires ability to sit at desk for several hours at a time. Constant use of hands for tasks including but not limited to inputting data on the computer, filing documents, and writing notes, etc. Requires viewing of computer monitor. Excellent vision and hearing. Able to lift up to and move unassisted, 25 lbs.
